The Purpose

We take pride in where we work and how we do things, so it’s your top priority to keep our offices looking fantastic for everyone who enters, making sure everything is working as it should and that people have what they need.  You don’t cut corners because you know the importance of safety in the workplace and have high standards which you are not willing to compromise on.  

What will i be doing

  • Based at the heart of the business on our front desk, you will own and manage the office and facilities function which is evolving at pace 
  • Supporting the front desk team to plan the daily essential activities like security, mail, office supplies, catering, cleaning, disposal and recycling – you don’t forget the basics  
  • It’s down to you to make sure we are compliant with legal requirements, health & safety protocols and have the risk assessments and documentation in place to prove it 
  • Communicate to people in the office what they need to know and how they should report any issues - you have a duty of care to keep people safe 
  • Lead your team with pride and set the standards, including any outsourced workers and contractors 
  • Prepare and manage the budget, you like to get the best deal possible and make the pounds go far, always looking to drive value from suppliers and contractors 
  • Tender, manage and review supplier contracts, monitoring their performance against SLAs & KPIs, you are not afraid to go out to call things out if they aren’t working quite as they should 
  • As a key member of the Archway team, you make sure we are up to date with the latest Covid-19 advice and are compliant with the guidelines, introducing new measures when needed  
  • Support or manage processes and procedures to maintain a Covid-compliant workplace 
  • Complete all the required risk assessments including fire, water and site-based, making sure we have the right plans in place, the right number of trained people e.g. fire wardens and records are kept - you keep us compliant  
  • Manage the fire wardens, first aiders and mental health first aiders  
  • Keep logs of any checks or servicing needs for equipment or systems on-site 
  • Coordinate the carpool hire, check all policies are present and correct to keep our people on the road 
  • Support our People team with any additional tasks as needed – we are one team 

Success in this role looks like

  • The office / facilities look fantastic 
  • Daily essential activities on the front desk run smoothly and successfully 
  • Team objectives are in place and their performance is measured and developed 
  • Workplace legal, health & safety and on-site compliance checks in place with completed risk assessments & documentation  
  • The facilities budget is monitored and on track 
  • Supplier contracts are in place with SLAs and KPI’s, which are measured and monitored regularly  

What will i bring to the role

  • Previously led a best in class facilities & office management function - you know what works 
  • MEP building service knowledge 
  • Excellent customer service and relationship building  
  • Previous team leadership, setting performance goals and creating development opportunities for your team 
  • Influence at senior level to get the job done   
  • Expertise in health & safety regulations and best practice  
  • Contract management and supplier tenders  
  • A practical and proactive approach to solve complex problems   
  • Confidence to work sensitive information in the right way 
  • Exceptional written and verbal communication 
  • Good with technology  

What is required in the role

  • Institute of Workplace & Facilities Management (IWMF) or other industry certifications are desirable but not essential  

Where and how can i develop from this role

  • This role will evolve if you proactively look for opportunities to continuously improve our current site and drive them forward 
  • There is potential for further responsibility at future sites opened through growth and acquisition 
  • With growth it’s likely to mean a bigger team and more people management
